Why a smart price list beats a spreadsheet (every time)

Every tradie eventually builds a "rates" spreadsheet. It works for about three months. Then a job comes in that doesn't fit the rows. You add a column. Then a sheet. Then a tab called "weird jobs". A year later you've got a 14-tab Excel monster that breaks on your phone.

A smart price list solves the structural problem. Instead of storing prices, you store formulas:

  • Per-unit formulas handle anything you charge by quantity (GPOs, downlights, taps, sleepers).
  • Per-area formulas handle anything measured (slab, turf, paint, tiling).
  • Minimum-charge formulas protect your callout cost.
  • Time-based formulas handle hourly, daily, weekend and after-hours work — auto-applied.

How to set up your tradie price list in under 5 minutes

  1. Download Invoice Better on iPhone (free).
  2. Tap Smart Price ListChoose Industry Pack.
  3. Pick the pack closest to your trade (Electrician, Plumber, Builder, Landscaper, Designer, Consultant). It pre-loads ~25 common items with sensible Australian rates.
  4. Edit prices to match your business. Each item has a visual formula builder — no coding.
  5. Save. From now on, every quote and invoice is three taps away.

Pricing tactics most Australian tradies miss

  • Always set a minimum charge. A $90–$120 minimum protects your callout time. Without it, small jobs lose money.
  • Build in a materials markup line. 15–25% on consumables is industry standard. Most tradies forget to add it.
  • Charge for travel separately. Either a flat $/km or a fixed travel fee per job. Don't bury it in your hourly rate.
  • Differentiate weekend / after-hours rates. Standard loadings: 1.5× Saturday, 2× Sunday, 2× public holidays, 1.5× after 6pm weekdays.
  • Quote in GST-inclusive numbers if your clients are residential. The end customer cares about the total, not the breakdown.
The fastest way to lift your effective hourly rate isn't charging more — it's reducing the time between "finished the job" and "invoice in their inbox". The closer to zero that gap is, the faster you get paid and the more confident the client feels.

Compatible with every Australian trade

Invoice Better's smart price list is used by electricians, plumbers, carpenters, builders, painters, landscapers, gardeners, tilers, plasterers, glaziers, roofers, locksmiths, cleaners, mechanics, designers, consultants and freelance creatives. The formula builder is industry-agnostic — only the starter packs change.

Frequently Asked Questions

Real questions Australian tradies and sole traders ask before switching invoicing apps.

A tradie price list is a saved library of common jobs and their rates — for example, $135 per power point, $180/m² for concrete, $95/hr for labour. Instead of recalculating every quote from scratch, you tap a saved item and the price (and GST) is applied automatically.

A spreadsheet stores prices. A smart price list stores formulas — per unit, per area, minimum charge, daily rate, weekend loading. That means it scales to any job size and auto-calculates the right total without manual maths or breaking when a job is unusual.

Yes. The price list lives entirely on your device using SwiftData. You can build and use it on a job site with zero signal, then send the invoice when you're back in range — or AirDrop it on the spot.

Every item supports GST-inclusive or GST-exclusive pricing. The 10% GST line is calculated automatically and shown separately on the final invoice, ATO-compliant out of the box.

Tradie (general), Electrician, Plumber, Builder/Carpenter, Landscaper/Gardener, Designer and Consultant. Each pack includes ~25 pre-set items with realistic Australian rates as a starting point — fully editable.
